Who We Are
This website, romanempire.net, is operated by The Senate and People of Rome (also referred to as “Rome,” “we,” or “us”), a Roman Empire living history and reenactment group active since 1987. Questions about this policy may be directed to Dominus at dominus@romanempire.net.
What Information We Collect
We collect personal information only when you voluntarily provide it. Specifically:
- Roman Citizen Data Sheet. When you complete the enrollment form at citizen_datasheet.html, you may provide your full name, pronouns, mailing address, email address, cell and home phone numbers, date of birth, emergency contact name and phone number, and any allergies. This information is compiled on your device and sent directly from your own email account to Dominus. We do not receive or store this data on our web servers; it arrives as a standard email message.
- Email correspondence. If you contact Dominus directly at dominus@romanempire.net, we receive and store the content of your message along with your email address and any other information you choose to include.
- Usage data. We use Google Analytics to understand how visitors interact with the site. Google Analytics automatically collects your approximate IP address (which Google uses to infer your general geographic location), browser type, device type, pages visited, time spent on pages, and the site or search engine that referred you here. This data is associated with a randomly generated identifier, not your name.
How We Use Your Information
- Enrollment data is used solely to maintain membership records for the Senate and People of Rome — tracking attendance, issuing awards, and coordinating events. It is not used for marketing or shared with any commercial third party.
- Email correspondence is used to respond to your inquiry and, where relevant, to follow up on matters related to Rome’s activities.
- Usage data is used in aggregate to understand which pages are visited and how visitors navigate the site, so we can improve the experience.
Google Analytics & Cookies
Google Analytics sets cookies (small text files) in your browser to distinguish unique visitors and sessions. The primary cookies are _ga (expires after 2 years) and _gid (expires after 24 hours). These cookies do not contain your name or contact information.
Google processes analytics data on our behalf under its own privacy terms. You can learn more about how Google uses this data at policies.google.com/privacy. To opt out of Google Analytics across all websites, install the Google Analytics Opt-out Browser Add-on.
We do not use advertising cookies, tracking pixels, or any other analytics tools beyond Google Analytics.
Who Can See Your Information
Enrollment information submitted via the Citizen Data Sheet is seen only by Rome’s leadership. As stated on the enrollment form: none of the information provided will be shared with non-Romans.
We do not sell, rent, trade, or otherwise disclose your personal information to any third party, except as required by law or as described in the Google Analytics section above.
Data Retention
Enrollment records are kept for as long as you remain an active member of Rome, or as long as there is a legitimate historical or administrative reason to retain them. If you leave Rome and wish your record to be deleted, contact Dominus at dominus@romanempire.net and we will remove it promptly.
Email correspondence is retained in Dominus’s inbox until manually deleted. If you would like a specific message or thread removed, please request it by email.
Google Analytics data is retained by Google per their standard data retention periods, which you can review in your browser’s cookie settings or via the opt-out tool linked above.
Your Rights
You may request access to, correction of, or deletion of any personal information we hold about you. To make such a request, email Dominus at dominus@romanempire.net. We will respond within a reasonable time.
If you are located in the European Economic Area or United Kingdom, you may have additional rights under applicable data protection law, including the right to lodge a complaint with your local supervisory authority.
Children’s Privacy
This website is not directed at children under the age of 13, and we do not knowingly collect personal information from children under 13. If you believe a child has submitted personal information to us, please contact Dominus and we will delete it.

This site contains links to external websites (vendors, reenactment groups, event organizers, and others). We are not responsible for the privacy practices of those sites and encourage you to review their privacy policies before providing any personal information.
Changes to This Policy
We may update this policy from time to time. When we do, we will revise the effective date at the top of this page. Continued use of the site after a change constitutes acceptance of the updated policy.
